    E-archive as a service

Depona is responsible for the functionality of the solution, which includes accessibility (server uptime), reliability and access, insurances and securing documents and data. User interfaces and administration tools meet Swedish authorities’ requirements for traceability. All data is stored on our own servers and data storage devices. All of which are running on our own software solutions. Information about where the servers are physically located and how backups are carried out is reported as part of the service. Uploaded documents cannot be edited or altered when they are stored in the e-Archive. They are locked which guarantees the authenticity of the documents.

e-Archive is a digital archive and a service that is linked to our other services such as Visual Archive Office®. Our unique web-based and user-friendly archive management system that gives you full control, overview and access to your archives. An order for archive material is normally handled within a few hours.

    The digital archive

Depona e-Archive can also be a step along the way to meeting your organization’s GDPR strategy.

GDPR, the General Data Protection Regulation, came into force in May 2018. This regulates all processing of personal data. For companies and organizations that own and manage personal data, this means that they need to keep track of their information and data. And this can be a problem if the information is, for example, archived on microfilm or microfiche. A microfilm can contain 17,000 documents. Finding the right image and scraping off any content manually is both time consuming and very costly.

The solution is to digitize and index all archived information and data. Just what Depona e-Archive offers and so much more.

All documentation in e-Archive is compatible with GDPR and not least important, Depona acts as a Personal Data Processor for all customers who archive their personal information with us. Do you instead prefer to manage and store your information and data with your own software solutions and on your own internal servers? No problem, we can help you scan your material on microfilm and microfiche to a digital format and transfer everything to you.

    Checklist for implementing e-Archive

Both in public administration and private sectors, there are requirements to archive documents for different lengths of time. Archiving can be physical or digital, but an increasing number of organizations are transitioning to digital archiving.

When it’s time to implement e-archive, there are some things to consider:

    • Should the service be owned by the organization itself or managed by a provider?
    • What needs should the archive fulfill?
    • How will the archive be used?
    • What is the timeline?
    • What does the existing IT environment look like, can it be built upon or is a completely new system needed?
    • Create a specification of requirements
    • Find suppliers
    • Allocate resources for the project
